Once you have met or talked with the agency representatives from your chosen sites, you might want to send them a letter like the one below confirming specific arrangements for your students.

As we agreed, ________(number of students) in my _________(fall or spring semester, year) _______________ (course or discipline) will serve _____________(number of hours per week at __________________(name of agency/location).
I have enclosed a copy of the syllabus for this course. Please note especially the learning goals listed on page one. If you have any questions about topics covered in the course or how they relate to the service activities, feel free to call me.
In class on ________(date) at ______time, I will inform the students of the service-learning project. As we discussed, you kindly agreed to join us to talk with the students about the mission of _________(agency) and our goals for the project. Thank you for making the time for this teaching. Students will be contacting you after that meeting to make an appointment to meet you at the agency. This would be a good opportunity to help them fill out the learning contracts, similar to the copy I shared with you at our meeting. I will give you a call the following week to see how the process went.
